Position Overview

The marketing assistant is an important role within the marketing department, supporting a broad range of activity across the team. An entry level position that will see you working across both concerts and education marketing initiatives including direct mail campaigns, email marketing, advertising, cross promotional opportunities and digital marketing.

Reporting/working relationships

The position reports into the Senior Marketing Manager and works in close collaboration with the Marketing Executive, Concerts and the Marketing Executive, Education, the Graphic Designer as well as the broader marketing team.

DUTIES AND RESPONSIBILITIES

Campaign Support

Provide support to the Marketing Executive, Concerts and Marketing Executive, Education including assisting with Musica Viva’s International Concert Season, Coffee Concerts and Musica Viva In Schools marketing campaigns.

Provide assistance in maintaining the centralised advertising schedule ensuring that ads are approved by internal stakeholders and uploaded on time.

Organise the printing and distribution of collateral for single ticket campaigns including liaising with printers and state teams.

Provide assistance to the Marketing Executive, Concerts in maintaining relationships with third party organisations and venues to help facilitate cross promotional activities.

Organise on-going ticket offers working with Box Office staff and Marketing Executive, Concerts.

Email / Website support

Assist Marketing Executives in coordinating email campaigns including helping collate content such as images and copy, placing content in eDM templates and testing campaigns.

Assist Marketing Executives with recording results of eDM campaigns and recording in centralised documents.

Under the guidance of the Marketing Executive, Concerts, manage regular email communications such as pre-concert insights and surveys eDMs.

Provide assistance to the Digital Marketing Manager and Marketing Executives Concerts and Education in keeping the website up to date with relevant information.

Database support

Assist in maintaining and updating customer data in Tessitura, as required.

Obtain single ticket purchase lists from venues and agencies.

Assist Marketing Executives with basic customer lists.

Administration support

Maintain the stock levels and co-ordinate orders for marketing collateral and stationery nationally.

Coordinate the distribution of all marketing materials including banners and printed collateral.

Distribute marketing assets such as logos, imagery and copy as required.

Under the guidance of the Marketing Executive, Concerts, update the Morning Concerts programs template as required and organise the printing of Sydney Coffee Concerts programs.

Where directed, undertake Front of House (FOH) duties at selected concerts held in Sydney and assist with the development of a FOH duty roster and schedule.

Organisational Responsibilities

In addition to the duties outlined above, the position holder is also required to perform such other duties as may be directed, provided these are within his/her competency or training from time to time

COMPETENCIES AND EXPERIENCE OF POSITION HOLDER

Essential Knowledge, Skills, Qualifications & Abilities:

Tertiary qualifications in marketing, arts/entertainment management or related area with a desire to undertake a career in marketing or the arts.

Excellent oral and written communication skills.

Experience in, and/or an understanding of basic marketing concepts.

Digitally savvy and comfortable with technology, email marketing and including social media platforms.

An eye for detail and an ability to manage multiple priorities.

Proficiency in Microsoft Office, particularly Word and Excel.

A positive, solutions-focused attitude, with an eagerness to learn and participate.

An appreciation of good customer service.

Desirable Knowledge & Skills:

Knowledge of InDesign and Photoshop.

Knowledge of email marketing systems.
